Job Description:

The Germantown Volunteer Fire Department is looking for an Administrative Coordinator to join our team. The Administrative Coordinator will work closely with the President and the Vice President to ensure that all administrative needs are being addressed in a timely manner. The Administrator will also be responsible for assisting in the day-to-day operations of the office.

Duties and Responsibilities:
Assist in day to day administrative operations

  • Maintain a high level of organization and efficiency in all aspects of office operations.
  • Assist in planning and implementating special projects as directed by the President or Vice President.
  • Assist in developing and implementing new office procedures and policies as directed by the President or Vice President
  • Maintain an organized filing system for records, reports, correspondence, contracts, etc., as directed by the President orVice President
  • Attend monthly membership meetings and special committee meetings
  • Schedule appointments, meetings, interviews, and support membership onboarding process.
  • Coordinate internal review of a variety of documents and deliverables; format and implement version control.
  • Coordinate meeting preparations by collecting agenda items, distributing agendas, scheduling meeting locations or electronic links
  • Maintain inventories, divisional/department reords, plans, and procedures
  • Assist training officer in maintaing training records and course registration
  • Support volunteer recruitment and retention activities
  • Support community event coordination
  • Process invoices and assist Treasurer in department recordkeeping, accounting, and reporting
  • Assist in tracking grant and funding timelines and deliverables
  • Assist in compiling grant proposals
  • Coordinate internal resources to accommodate special requests from the community.

Skills Required: To perform this job successfully, an individual must possess or have required skills listed below.

  • Must have excellent oral and written communication skills with proficiency in English (both written and spoken).
  • Must be able to exercise sound judgment and discretion, analyzing and resolving confidential, and sensitive situations with diplomacy and tact.
  • Must have excellent organizational skills with attention to detail and ability to multi-task between multiple projects at any given time.
  • Must possess excellent computer skills including Microsoft Office Suite (Word Excel PowerPoint Outlook), and QuickBooks with intermediate to advanced skills in use of the internet to communicate with clients and vendors.
  • Must be able to work independently with little supn or as part of a team environment.
  • Must be able to work within specific timelines and multitask under ervisioincluding working on projects from start to finish
